The ideal candidate will be an excellent communicator and a true people person. You will have a sharp eye for detail, the ability to follow processes accurately, and experience handling spreadsheets and supporter databases.
As part of the World Parrot Trust, a leading organisation dedicated to parrot conservation worldwide, we are seeking someone with an interest in wildlife, conservation and welfare, and fundraising who will work tirelessly to ensure our supporters feel valued and engaged.
Main Role & Responsibilities
As part of the Administrative and Fundraising team, the Supporter Relations Coordinator will help deliver a supporter experience that consistently exceeds expectations. Through every interaction, you will strive to build meaningful relationships with our supporters, ensuring they feel appreciated and connected to our mission
Whether you are processing donations, maintaining our supporter database, responding to supporter enquiries, or assisting with events and campaigns, the delivery of outstanding service to our supporters and members will be at the core of everything you do.
Key Duties (Including but not Limited to):
Supporter Engagement and Communication
- Foster meaningful relationships with supporters, ensuring they feel valued and connected to the Trust's mission through active communication, including updates and assistance with renewals or services. Deliver exceptional supporter engagement across all channels (digital, phone, and post), including crafting personalized acknowledgments like thank-you letters and addressing complaints professionally. Collaborate with the team to implement innovative approaches to enhance supporter engagement and operational efficiency, ensuring their feedback informs organizational strategies. Provide prompt and professional responses to supporter inquiries, feedback, and complaints, ensuring the highest quality of engagement.
Office and General Administration
- Perform general administrative tasks, including filing, scanning, and responding to correspondence.
- Responsible for securing, organizing and maintaining all physical files and materials.
- Process incoming and outgoing mail and manage phone and email queries.
- Participate in day-to-day organisational activities, such as attending team meetings and contributing to strategy discussions.
- Assist in preparing annual reports detailing supporter contributions and campaign outcomes.
Donation and Data Management Responsibilities
- Accurately process all contributions, including standing orders, direct debits, and one-off donations across platforms, while ensuring confidentiality and compliance with GDPR and UK Gift Aid regulations. Maintain accurate and up-to-date supporter records in Raiser's Edge NXT, ensuring all communications and transactions are logged and database integrity is upheld through periodic reviews. Process and reconcile donations from various platforms, liaising with third-party fundraising platforms to manage records and soft credits effectively. Support the Philanthropy Manager with data entry tasks and uphold secure handling of sensitive information in adherence to records retention policies.
Membership Coordination
- Create and distribute membership (and supporter) materials, including welcome packs, newsletters, and renewal communications.
- Prepare mailing lists for members-only publications.
- Actively engage with members to ensure retention and satisfaction.
Legacy Management
- Manage the administration of all legacy gifts, including legal documentation, communication with executors, and ensuring funds are allocated as specified by the donor's intentions. Oversee the administration of current relationships and bequests in probate, handling all straightforward estates efficiently. Coordinate with legal advisors for any complicated estates that are already in probate, ensuring appropriate support and legal compliance.
- Track the progress of realized legacy gifts and communicate with supporters and executors, and update Fundraising Team and Finance Department.
Campaign and Event Support
- Assist the Philanthropy Manager with planning and execution of fundraising campaigns, supporter events, and outreach activities.
- Represent the World Parrot Trust at public or virtual events to engage and educate supporters.
- Evaluate the effectiveness of campaigns and outreach initiatives, offering suggestions for improvement.
- Occasionally work flexible hours, including evenings or weekends, to support fundraising events.
