About the Charity:
St. George’s Crypt is Christian Charity in the city of Leeds providing shelter and support and working with the homeless, the vulnerable and those suffering from addiction. Our aim is to provide a safe environment with physical, emotional and religious support for those who suffered abuse, suffer from addition or who are homeless.

Job Purpose:
This role is an integral part of the infrastructure team and contributes directly to the smooth running of the infrastructure department.
Work collaboratively to update administrative systems for record keeping & archiving.
Keep accurate file records of financial documents and other related paperwork.
Ensure that processes are maintained to the Infrastructure Team.
Ensure administration systems are efficient, looking to improve and develop where necessary.
Key Job Role Responsibilities and Main Tasks:
Administration:
· Manage and maintain comprehensive filing systems both off and online including those recording systems across multiple sites.
· Maintain an up-to-date list of external contacts and contractors’ details.
· Liaise with contractors and suppliers as appropriate.
· Maintain and update departmental databases and records.
· Upload supporting photographs to various filing systems.
· Monitor, book and update vehicle MOT, Tax and servicing information alongside other related operational data.
· When required aid the Infrastructure Support Coordinator in updating a T Card electronic jobs card database.
Financial:
· Access utility portals providing updates to inform relevant departments of pricing and usage as well as documenting information for monitoring purposes.
· In conjunction with line manager manage and monitor invoices and credit card statements ensuring quotes, invoices and receipts are accurately processed.
· Assist in the purchasing of online items to aid the completion of infrastructure repairs.
General:
· Respond to telephone calls, emails and other messages acting as the general contact for the infrastructure office.
· Maintain a spreadsheet of departmental holidays
· Produce reports for the finance department, leadership team and trustees when required.
· Collate & print meeting papers and organise the shredding of confidential waste as required.
· In conjunction with the maintenance team act as cover for job distribution when the Infrastructure Support Coordinator is on leave, or away from the office on other tasks. Attend staff meetings as required.
· Undertake professional development, including annual performance and development reviews, and any other duties required by the Infrastructure Support Co-ordinator.
· Attend staff meetings
Safeguarding Responsibilities:

· Experience in an administrative environment, performing general office duties such as answering phones, managing emails and maintaining office supplies.
