People Operations Coordinator

This role offers a starting salary within Nacro’s pay structure of £26,807, per annum with expected progression to £27,477, per annum within the first year, subject to meeting clear criteria and performance standards, with further pay progression available in the future. About the role
This is a varied and customer-focused role where no two days are likely to be the same. You’ll provide first-line guidance on standard People policies and procedures, helping employees, managers and candidates understand their options, responsibilities and next steps.
You’ll manage and prioritise your own caseload against agreed service standards and deadlines, keeping customers informed and taking ownership of enquiries through to resolution wherever possible. Where specialist support is required, you’ll make effective handovers while continuing to ensure a joined-up customer experience.
Accuracy and attention to detail will be essential. You’ll maintain confidential People records, complete routine checks, prepare payroll inputs, support audits and contribute to quality and service improvements. You’ll work closely with colleagues across People Operations, Payroll, Talent and Resourcing, People Advisory, People Partnering, People Systems and Vetting and Compliance.
What you’ll be doing
- Process starters, leavers and approved changes to employment terms accurately and within agreed deadlines.
- Prepare and issue standard offer letters, contracts, variation letters and other employee correspondence.
- Complete administration relating to family leave, flexible working, absence and other employee lifecycle processes.
- Prepare accurate payroll inputs, ensuring approvals and supporting evidence are complete.
- Support TUPE, organisational change and bulk employee lifecycle activity.
- Complete routine pre-employment screening and vetting, including identity, right-to-work, DBS, references and employment-history checks.
- Request and follow up outstanding information, maintain accurate records and keep candidates, managers and colleagues informed.
- Identify discrepancies, gaps, expired evidence or other exceptions and refer these promptly to the appropriate specialist.
- Act as a trusted first point of contact, providing accurate first-line guidance on standard People policies and procedures.
- Manage and prioritise a varied caseload, provide proactive updates and raise emerging risks or capacity pressures.
- Maintain accurate employee and candidate records and complete approved workflows and reports.
· Handle personal and special-category information securely and in line with data protection and confidentiality requirements, including supporting the coordination, collation and timely handling of Data Subject Access Requests (DSARs).
- Undertake peer checks, file reviews and quality checks and contribute to audits and service improvement activity.
- Identify recurring issues and suggest practical improvements to processes, guidance, templates and customer information.
· Respond professionally to sensitive or complex enquiries, helping customers understand options, next steps and available support.
You’ll be someone who
- Has experience delivering accurate administration within People Operations, HR, recruitment, payroll or another regulated service environment.
- Has experience processing detailed transactions or checks while maintaining confidential records and working to defined procedures and deadlines.
- Has experience providing clear first-line information, guidance or direction through a busy service, inbox or case-management environment.
- Has excellent attention to detail and strong organisational skills, with the ability to manage competing priorities while maintaining service quality.
- Is confident using HR, recruitment, case-management or comparable systems, alongside standard Microsoft 365 applications.
- Has a good understanding of standard People policies, employee lifecycle processes and data protection.
- Understands the importance of accurate payroll-related information and working to published deadlines.
- Has sound judgement and can apply policies and procedures consistently, while recognising when an issue requires further professional advice.
- Has strong written and verbal communication skills and a genuine commitment to customer excellence.
- Can handle sensitive information with discretion, confidentiality and integrity.
- Is collaborative, resilient and proactive, with a willingness to contribute ideas that improve the People service.
Experience of processing DBS, right-to-work, references, employment-history, BPSS, HMPPS or other pre-employment checks would be advantageous. Experience working within a charity, education, criminal justice or another regulated environment would also be desirable, as would experience supporting audits, Data Subject Access Requests (DSARs), quality checks or process improvement activity.
A CIPD Level 3, business administration qualification or equivalent practical learning would also be desirable.
