ABOUT THE EXECUTIVE ADMINISTRATOR ROLE
The Executive Administrator plays a pivotal role in providing high-level administrative and governance support to the Director of Finance & Resources, the Senior Leadership Team (SLT), the Board, and the CEO. This role is central to ensuring the smooth operation of the organisation by coordinating meetings, managing governance processes, and supporting strategic initiatives.
The Executive Administrator will facilitate Board and SLT meetings, including scheduling, preparing agendas, taking formal minutes, and ensuring timely follow-up on actions. They will also oversee compliance with health & safety regulations, support the organisation’s environmental strategy, and manage administrative processes across the wider organisation.
This role requires exceptional organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will be a proactive problem-solver with excellent communication skills and a commitment to upholding the values and mission of the Social Interest Group.
Shift Pattern: 37.5 hours per week, Monday to Friday, 9:00 to 5:00. This role follows a hybrid working model, with 2 days required in the office.
Salary: £30,600
What are we looking for from an Executive Administrator?
Governance Support:
- Coordinate and service meetings, including Board, Committee, SLT, and Annual General Meetings.
- Maintain Board member records, registers, and minutes, ensuring compliance with legal requirements (e.g., Companies House, Charity Commission).
- Ensure accurate filing of governance documents, including seals, tenders, and gifts/hospitality registers.
Financial and Administrative Management:
- Demonstrate excellent numeracy and financial skills, supporting best practices in financial management.
- Maintain the Group’s Contract Register and support procurement processes.
- Manage the Administrative Support Officer to ensure the effective operation of the Head Office.
Environmental Strategy:
- Act as the Environmental Lead, overseeing the annual carbon audit process and liaising with auditors and internal departments.
- Manage the ESOS audit (mandatory government environmental audit) and embed efficient processes for data collection and reporting.
Strategic and Operational Support:
- Provide reflective and analytical support, summarising complex information and distilling key insights for decision-making.
- Support the Director of Finance & Resources in delivering the organisation’s mission and values.
- Promote a Psychologically Informed Environment (PIE) and uphold high standards of service provision.
Compliance and Best Practice:
- Ensure adherence to SIG policies, including Equality, Diversity, and Inclusion (EDI), data protection, and health & safety procedures.
- Lead by example in maintaining confidentiality and fostering a positive, productive work environment.
